The day before any event, our team runs a complete supplier confirmation process. Every vendor — caterers, florists, entertainers, AV technicians, venue staff — receives a final briefing document and a direct call to confirm timing, access details, and any last updates to the plan. We walk the venue at least once, sometimes twice, checking sightlines, testing equipment, confirming that the layout matches the floor plan and that every logistical detail is exactly as agreed. It is during this process that small discrepancies surface — a delivery window that has shifted, a hire item that is a different size than specified, a timing clash between two suppliers. These are the moments that separate experienced planners from everyone else. Problems found the day before are manageable. Problems found on the day are something else entirely.
On the morning of the event, our team arrives at the venue before anyone else and leaves after everyone has gone. In between, we are the invisible architecture that holds the entire evening together — directing the setup, briefing the welcome staff, managing arrivals, monitoring the timeline, and making the hundred small adjustments that no event plan can fully anticipate in advance.
